Privacy Policy

Who we are

Smart21Brain (“Smart21Brain”, “we”, “us”) is an online learning platform offering courses, videos, books, games, quizzes and related tools for learners from nursery to university. We are based at Msasani Peninsula, Dar es Salaam, Tanzania. This policy explains what personal information we collect, why we collect it, how we protect it, and the choices you have. It applies to smart21brain.com and the learning, school, institution, shop and stationery tools offered on it.

Information we collect

Information you give us

• Account details: your name, email address, password (stored in protected form, never in plain text), the role you choose (for example learner, parent or teacher) and an optional profile picture.
• Messages: anything you send through our contact form or by email, including your name, email address and message.
• Content you create: for example answers to quizzes, notes, projects and code you write in our tools, and content that teachers, schools or institutions upload or publish.
• Information for schools and institutions: details that school or institution administrators enter to run their space, such as class lists, staff and learner records.

Information collected as you use the site

• Learning activity: courses and lessons you open, progress, quiz and game results, scores, badges and certificates.
• Technical data: basic information that your browser sends automatically, such as IP address, device and browser type and the pages requested. We use it to keep the service running, secure and fast.
• Preferences: settings such as language and light/dark mode, stored on your device.

We do not knowingly collect payment card numbers on our own servers. If paid plans or purchases are offered, they are handled by third-party payment providers and we receive only the confirmation we need.

How we use your information

• To create and manage your account and keep you signed in.
• To provide the learning experience, including saving progress, issuing certificates, and showing results to you and, where relevant, your teacher, school or parent.
• To answer your messages and provide support.
• To operate the AI Study Buddy and other interactive tools you choose to use.
• To keep the platform safe, prevent abuse and fix problems.
• To improve our content and features, using information in aggregated form wherever possible.
• To send service messages such as password resets and important account or policy notices.

We do not sell your personal information, and we do not show third-party advertising.

Why we may process your information

We process personal information to deliver the service you asked for (our contract with you), with your consent where required, to meet our legal obligations, and for our legitimate interests in running a safe and effective learning platform. You can withdraw consent at any time, which will not affect processing already carried out.

AI features

Some tools, such as the Study Buddy, may send the text you type to an AI service provider so it can generate a reply. Please do not enter sensitive personal information (such as your home address, phone number, passwords or health details) into these tools. AI replies may sometimes be inaccurate, so check important facts with a teacher or trusted source.

Cookies and similar technologies

We use only the cookies and browser storage that are strictly necessary to keep you signed in and to remember your choices (for example language, theme and that you have seen our cookie notice). We do not use third-party analytics or advertising trackers. Because these items are needed for the site to work, they do not require separate consent, but you can clear them in your browser settings at any time (you may then need to sign in again).

Children’s privacy

Smart21Brain is designed for learners of all ages, including children. We take extra care with children’s information:

• Children under 13 (or the age of digital consent that applies where they live) should use Smart21Brain with the involvement of a parent, guardian or teacher, who can give consent on their behalf.
• We collect only what we need to run a child’s account and learning experience, and we do not use children’s information for advertising.
• Parents and guardians can ask us to see, correct or delete their child’s information at any time using the contact details below.
• If we learn that we hold a child’s information without the required consent, we will delete it.

Who we share information with

We share personal information only when necessary:

• Your teacher, school or institution: if you join a class or an institution space, they can see your learning activity and the information needed to manage that space.
• Service providers: companies that help us run the platform, such as hosting, storage, content delivery and security (for example Cloudflare), email delivery, and AI providers. They may only use the information to provide services to us.
• Legal and safety reasons: where the law requires it, or to protect the rights, safety and security of our users, the public or Smart21Brain.
• Business changes: if Smart21Brain is merged with or acquired by another organisation, your information may transfer to it, and we will tell you if that happens.

Public content you choose to publish (for example on a school or institution site) can be seen by anyone.

Where your information is stored

Our providers operate data centres in several countries, so your information may be processed outside Tanzania. Where that happens, we take reasonable steps, such as contractual protections, so that your information is handled with a level of care consistent with this policy and applicable law.

How long we keep it

We keep personal information for as long as your account is active and as long as needed to provide the service, meet legal obligations, resolve disputes and enforce our agreements. When you delete your account, we delete or anonymise your personal information within a reasonable period, except where we must keep some records by law.

How we protect it

We use measures such as encrypted connections (HTTPS), protected password storage, access controls and secure hosting to protect your information. No online service can be perfectly secure, so please choose a strong, unique password and never share it. If you think your account has been compromised, contact us straight away.

Your rights and choices

Depending on where you live, including under Tanzania’s Personal Data Protection Act, 2022, you may have the right to:

• access the personal information we hold about you;
• correct information that is wrong or incomplete;
• ask us to delete your information or close your account;
• object to or restrict certain uses of your information;
• receive a copy of your information in a common format; and
• withdraw consent you previously gave.

To use any of these rights, email hello@smart21brain.com. We may need to confirm your identity first. You can also complain to the data protection authority in your country if you believe your rights have not been respected.

Links to other sites

Our pages may link to or embed content from other websites (for example videos or images). We do not control those sites and are not responsible for their privacy practices, so please read their policies.

Changes to this policy

We may update this policy from time to time. When we make important changes we will update the effective date above and, where appropriate, tell you on the site or by email. Continuing to use Smart21Brain after a change means you accept the updated policy.
